THE PRIVACY POLICY ABOUT EVENT PARTICIPATION

The Italian Society for Climate Sciences (SISC) is the controller (hereinafter referred to as “Controller” or “SISC”) who collects and processes personal data of the participants (hereinafter referred to as “Data Subject”) – speakers or attendants – to the conference and/or other scientific event or training event (hereinafter referred to as “Event”).

1. REASON FOR THIS NOTICE

The personal data of the data subject are processed within the scope of SISC’s activity, for the pursuit of the following purposes:

  1. registration and relative participation of the Data Subject in the Event;
  2. tax, administrative and accounting requirements strictly connected to the participation in the Event;
  3. send free documentation relating to the Event;
  4. use the image and/or voice of the Data Subject portrayed during the Event, within video, audio, photographs of the Event itself published on the SISC website and social networks and, if existing, on the website and on the social networks of the Event;

Il trattamento dei dati personali avviene, sotto l’autorità del Titolare del trattamento, da parte di soggetti specificamente incaricati, autorizzati ed istruiti al trattamento ai sensi dell’art. 30 del Codice privacy e degli artt. 28 e 29 del Regolamento privacy, mediante strumenti manuali, informatici o telematici, con logiche strettamente correlate alle finalità e comunque in modo da garantire la riservatezza e la sicurezza dei dati personali.

Notwithstanding the provisions of the law, personal data will be stored for a determined period based on criteria based on the nature and duration of the Event, as well as on the further needs of the Data Subject.

2. Base giuridica del trattamento, natura del conferimento e conseguenze di un eventuale rifiuto, consenso dell’Interessato.

Con riferimento alle finalità di cui al precedente paragrafo 1, punti 1, 2, 3, e 4 il conferimento dei dati personali è obbligatorio e costituisce requisito necessario per l’iscrizione e la relativa partecipazione all’Evento, in base all’art. 6, comma 1, lett. b) del Regolamento privacy.

La ricezione della documentazione SISC o di parti terze coinvolte nell’organizzazione di futuri progetti, iniziative, ed eventi promossi dalla medesima nell’ambito della stessa area di interesse, punto 5 del precedente paragrafo, invece non è obbligatoria, in base all’art. 6, comma 1, lett. a) del Regolamento privacy.

3. Subjects or categories of subjects to whom the personal data may be communicated and scope of communication

With reference to the purposes of the processing indicated above, and only within the scope strictly relevant to the same, the personal data of the interested party will be communicated in Italy and/or inside or outside the EU, to the following subjects for the purposes of registration and subsequent participation in the Event:
(i) organising institution’s internal accounting office and public authorities, where required by law or under their request;
(ii) credit institutions for the payment of provisions relating to the Event registration fee;
(iii) institutions and/or external companies that the organising institution engages to carry out activities connected with, instrumental to or consequent to the registration and subsequent participation in the Event (e.g. for press services; data processing and IT consultancy; promotional activities by companies participating in the Event; for catering services; etc.);
(iv) external consultants (e.g. for the management of tax obligations, for the evaluation of the contributions/papers to be presented at the conference/event), if not explicitly appointed as Data Processors.
Personal data will or may be communicated to the subjects indicated above (that are not explicitly appointed as Data Controller) as data controllers. They will perform this activity in accordance with the Privacy Code, in full autonomy, being unrelated to the original processing performed by the organising institution.
Without the consent to the communication of personal data and related processing, where it is required under the Privacy Code, all operations that require such communication cannot be executed.
The image and/or voice of the user taken/recorded during the Event may be diffused within the videos, audio and/or photographs of the Event itself published on websites and social networks.
If this is necessary for the performance of the Event, the personal data of the interested party may be transferred to countries belonging to the EU and/or to countries outside the EU, in full compliance with the provisions of the Privacy Code, the Privacy Regulations, the measures and decisions of the privacy guarantor on the subject, and Community legislation. In particular, where necessary, the organising institute undertakes to comply with Decisions 2001/497/EC, 2004/915/EC and 2010/87/EU, respectively, which require the signing of so-called “standard contractual clauses” amongst the legal entities involved in the processing of non-EU data.

4. Rights of Data Subject

Subjects to whom any personal data gathered in the said specific sections refer, have the right at any time to obtain confirmation of the existence or otherwise of the said data and to know their content and origin, check their exactness or request additions or updates, or rectification under the terms of Art. 7 of the Privacy Code.

Under the same Article, the data subject has the right to request the cancellation, transformation into an anonymous form, or to object to their processing, in any case, for legitimate reasons. Requests should be addressed to the Italian Society for Climate Sciences, email: info@sisclima.it

  • Article 7 of Privacy Code and Article 15 e segg. of the Privacy Regulations, the data subject has the right to request:
  • confirmation of the existence or otherwise of the said data and to know their content;
  • indication of the origin of the personal data, of the purposes and methods of the processing, of the logic applied in case of treatment carried out with the aid of electronic instruments, of the identification details of the data controller;
  • the cancellation, transformation into an anonymous form, or to object to their processing, in any case, for legitimate reasons.

The data subject has the right to request:

  • to object, in whole or in part, for legitimate reasons, to the processing of personal data concerning him, even if pertinent to the purpose of collection;
  • to lodge a complaint with the Guarantor for the protection of personal data in the cases provided for by the Privacy Regulation.

5. Durata del Trattamento

Fatti salvi gli obblighi di legge ed eccezion fatta per la ricezione, da parte di SISC, di aggiornamenti su tutti gli altri progetti, iniziative ed eventi futuri promossi dalla medesima, i dati personali degli Interessati saranno conservati per la sola durata dell’Evento. In ogni caso, il trattamento avrà una durata non superiore a 5 anni dalla data di fornitura dei predetti aggiornamenti, se gli Utenti non ne avranno richiesto antecedentemente la cancellazione. Nonostante quanto precede, SISC potrà conservare taluni dati personali degli interessati anche dopo la cessazione del trattamento e ciò esclusivamente per difendere o far valere un proprio diritto ovvero nei casi previsti dalla legge o per effetto dell’ordine di un’autorità giudiziale o amministrativa.
